About the Position

TDC is looking for an independent contractor to serve as the Business Operations Manager (BOM) supporting the rapidly expanding work of The Dialogue Company. The BOM will work virtually managing administrative, financial, and project management tasks. The ideal candidate should be analytical, well organized, tech-savvy, and have an acute attention to detail. They must be proficient with Microsoft and Google Suite applications. The BOM must be adept in utilizing collaboration and project management tools such as Trello as well as expense reporting tools such as Quickbooks. They should have experience with MailChimp and Client Relationship Management tools. The BOM must be reliable and flexible and possess a “can-do” attitude. Preference is given to candidates with an interest/experience in Diversity, Equity, and Inclusion work.

General Responsibilities

This is a remote position with overall responsibilities for day-to-day daily business operations to ensure organizational excellence. The Business Operations Manager reports to the TDC Principal and Founder and coordinates with a distributed workforce of staff and contractors.

  • Long-term planning to create initiatives that further the company’s overall goals and viability.

  • Helping manage and implement organizational objectives, strategies, policies, workflows, and tactics

  • Assessing and analyzing project budgets to find ways to minimize expenses and optimize profits

  • Identifying potential problems and points of friction and working to find solutions in order to maximize efficiency and revenue

  • Identifying potential opportunities to expand or shift course in order to take advantage of changes in the marketplace

  • Coordinating with team members to foster the exchange of ideas and provide cross-team learning opportunities

  • Inspiring and motivating TDC members to perform at their best

Specific Responsibilities

Provides for the development, coordination, oversight, and execution of:

  • Superior client service protocols and workflows

  • Production of the proposal, work scope, and reporting documents

  • Contract and vendor service agreements management

  • Standardized operating procedures

  • Coordination of Administrative, Programmatic, and Communications Associates

  • Ongoing technology maintenance, training, and database management

  • Office system transitions and outsourced services, including but not limited to: accounting, technology, website, industry-specific software, and general maintenance

  • Financial management, producing client invoices, and coordinating with TDC Bookkeeper and Accountant to ensure accurate Accounts Receivable, Accounts Payable, and Expense Management

  • Filing, record-keeping, and operational aspects as they impact business operations

  • Maintaining compliance with local, state, and federal authorities

  • All property and liability insurance programs

Preferred Skills and Requirements

  • Self-directed professional with 2-3 years of small business operations experience

  • Proven experience coordinating a remote workforce and operating efficiently in a virtual environment

  • Knowledge of office management systems and procedures

  • Strong organizational abilities, including planning, delegating, and business processes

  • Excellent time management skills and ability to prioritize work to meet all deadlines

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills; Strong copy-editing skills

  • Experience with accounting and Quickbooks

  • Experience with CRM database software

  • Experience with website and social media tools - a plus

  • Proficiency in MS Office/G-Suite

  • Minimum of an Associate’s/Bachelor’s degree in a field related to business administration

  • A proactive approach to problem-solving with strong decision-making skills

  • Interest in Diversity, Equity, and Inclusion--specifically in anti-racism work

  • Demonstrated emotional intelligence

Education

Minimal of a 2-Year Degree Required

Hours

15 - 20 hrs per week; work hours occur between 8a-8pm EST, M-F

Compensation/Rate

Up to $50/hour (Depending on experience).

English - verbal and written

Work Location

This is a remote position. Work may be performed anywhere in the United States.
